How we look after your information
The short version: we only collect what we need to talk to you and do the work, we don't sell it, and you can ask us to see it or delete it at any time.

Who we are
Plainly Powered is a trading name of Lerakoma Ltd, a company registered in England and Wales (company number 07883361). Registered office: c/o DPC, Stone House, Stone Road Business Park, Stoke-on-Trent, ST4 6SR.
Lerakoma Ltd is the "controller" of your personal information under UK data protection law (the UK GDPR and the Data Protection Act 2018). If you have any questions about this notice or your information, email hello@plainlypowered.com.
What we collect
- When you book a free call: your name, your business name, your email address, your phone number if you give it, the best time to talk, and anything you write in the message box.
- When we talk or email: what you tell us about your business and the jobs that take up your week. With your permission, we record calls and keep a written transcript, so we can go back over what you said properly. You can say no, and it won't change anything.
- When you work with us: the information we need to do the job, such as business documents, examples of your emails or social posts, and logins you choose to share for systems we're setting up. Plus your billing details, so we can invoice you.
We don't ask for sensitive information (such as health details), and we'd rather you didn't send it. If your work involves your own customers' details, we'll agree in writing how we handle them before we start.
This website
This site doesn't use cookies, analytics or advertising trackers, and our fonts are hosted on the site itself, so loading a page doesn't share anything with Google or other third parties. Our hosting provider, Netlify, keeps short-term technical logs (such as your IP address and browser type) to keep the site running and secure.
Why we use it, and our legal basis
| What we do | Legal basis |
|---|---|
| Reply to your enquiry and arrange a call | Steps you've asked us to take before a contract, and our legitimate interest in replying to people who contact us |
| Record and transcribe calls | Your consent, which you can withdraw at any time |
| Do the work you've hired us for | Our contract with you |
| Send invoices and keep business accounts | Legal obligation (tax and company law) |
| Keep the website running and secure | Our legitimate interest in a safe, working site |
We won't add you to a mailing list or send you marketing unless you ask us to.
How we use AI tools
We're an AI consultancy, so we do use AI tools to help with our own work, for example to summarise call transcripts or draft documents. We only use business accounts with providers whose terms say they won't use your information to train their models. We check everything the AI produces ourselves, and no decision about you is made by AI alone.
Who we share it with
We never sell your information. We share it only with the services we use to run the business, who handle it on our behalf and under contract:
- Web3Forms, which sends the booking form to our inbox
- Google Workspace, for our email and documents
- Netlify, which hosts this website
- AI tool providers, as described above
- Our accountants, for invoices and company accounts
We'll also share information if the law requires it.
Sending information outside the UK
Some of these providers store information outside the UK, including in the US and the EU. When they do, it's protected by UK-approved safeguards, such as the UK's adequacy regulations or the International Data Transfer Agreement.
How long we keep it
- Enquiries that don't lead to work: up to 12 months, then deleted.
- Call recordings: deleted within 3 months of the call. We may keep the written transcript and notes for as long as we're working together.
- Client records: for as long as we work together, then up to 2 years in case you come back to us.
- Invoices and accounts: 6 years, as the law requires.
Keeping it safe
We keep your information in accounts protected by strong passwords and two-step sign-in, limit who can see it to the two of us, and delete logins you've shared once the job they were for is finished.
Your rights
You have the right to:
- ask for a copy of the information we hold about you
- ask us to correct anything that's wrong
- ask us to delete it
- object to, or ask us to limit, how we use it
- ask for it in a format you can take elsewhere
- withdraw your consent, for example to a call being recorded
Just email hello@plainlypowered.com. It's free, and we'll reply within one month.
Complaints
If you're unhappy with how we've handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this notice
If we change how we use your information, we'll update this page and the date at the top.
